Evaluation software evasys
With the help of the software evasys used at the University of Cologne, courses of the Faculties as well as further education, consulting, workshop, information, coaching and service offers of the central institutions can be evaluated. In addition, since the pandemic-related changeover, evasys has been used in committee work (e.g. in appointment committees, Faculty/department meetings etc.). With the provision of the evaluation software evasys (campus model), Faculties and central institutions of the University of Cologne are supported by Q³ especially in the area of the evaluation of studies and teaching according to Section 7 (subsection 2) and Section 4 HG NRW. In order to grant the employees' interests worthy of protection, a service agreement was concluded between the University of Cologne and the staff councils.
Functionality and use of evasys
Evasys enables simple paper and online surveys as well as complex hybrid surveys using passwords or the use of TANs (transaction numbers) and QR codes. Prerequisites for the use of evasys are the completion of a training course, the establishment of a sub-area in the evaluation system and compliance with data protection regulations (in particular the creation of a processing directory).
Due to the complexity of the software, we recommend using LimeSurvey instead, especially for one-off surveys. Further information can be found on the RRZK website.

The evasys support for Faculties and institutions of the University of Cologne includes:
- support in clarifying technical and organizational frameworks for the use of evasys
- conducting training on the use of evasys
- advice and assistance on how to use evasys and its controls
- advice on the use and adaptation of evasys in the specific institutional environment
- support in the creation of processing directories
- conducting special interest groups
Trainings
Evasys support provides training in ILIAS. Videos are used to convey the knowledge required for working with evasys and the relevant aspects of how evasys is handled in accordance with data protection requirements. In addition, the practical implementation of the content is tested simultaneously with the help of exercises in the training system. Completing the training is a prerequisite for using evasys.
